Merced County: New Timesheets are Coming for IHSS Independent Providers

The IHSS program will be using a new timesheet for providers to claim the hours worked beginning December 1, 2011. It is important that these new timesheets be completed correctly, as all incorrect timesheets will be returned and this will cause lengthy delays to your paycheck.

Timesheets will not be processed at the Merced IHSS office.  All timesheets need to be mailed with correct postage.  All IHSS timesheet received at the county will be returned to the provider (see below).

Where new timesheets are processed for payment:
New timesheets will be processed at a Timesheet Processing Facility (TPF) in Chico, California. The new address is on the envelope. Timesheets must be mailed directly to the Timesheet Processing Facility.

Hours and minutes are now claimed on the timesheet:
On the new timesheet, the time worked must be in hours and minutes. You no longer need to change minutes to decimals. For example, if you work 4 hours and 45 minutes you would enter 4 in the Hours boxes and 45 in the Minutes boxes.

  • What will cause delays in timesheet and checks:
    DO NOT use pencil
  • DO NOT fold the timesheet
  • DO NOT write anything on the timesheet except time worked, signature and date.
  • Blue or black ink must be used to complete the timesheet.

Signing and dating new timesheets:
New timesheets must be signed and dated on the backside by both recipient (and authorized representative) and provider. Timesheets submitted without both signatures will be rejected for payment by the Timesheet Processing Facility (TPF). Another timesheet will have to be completed. This will create a delay in receiving a paycheck.

How to report a change of address:
Complete a change of address form immediately. This form is available at the Merced IHSS office. IHSS paychecks will not be forwarded by the post office.

These changes are effective December 1, 2011

In October, you should anticipate receiving a letter from the California Department of Social Services regarding the changes with the IHSS timesheets. It will be very important that you read and follow the instructions in order to be paid accurately and timely for IHSS hours.
